1. Who we are
This Privacy Notice describes how FPX Financial Corp ("FPX Financial", "we", "us") collects, uses, and shares personal data in connection with the Billion CRM service (the "Service"). FPX Financial Corp acts as the data controller for personal data of account holders and visitors to our website.
2. Categories of personal data we collect
- Account data: name, email address, password hash, organization, role, profile photo.
- Contact & communication data: support messages, survey responses, email correspondence.
- CRM content: leads, appointments, notes, call recordings, transcripts, and other data you upload.
- Usage & telemetry: pages viewed, features used, log timestamps, error reports.
- Device & technical data: IP address, browser type, device identifiers, time zone.
- Billing data: collected and processed directly by Paddle as Merchant of Record; we receive only limited billing metadata (plan, status, country).
3. Purposes and legal basis
- Provide the Service (contract performance): account creation, authentication, hosting your CRM content, AI transcription and summaries, sending the product emails you request.
- Security and fraud prevention (legitimate interests / legal obligation): detecting abuse, preventing unauthorized access, audit logging.
- Product improvement and analytics (legitimate interests): aggregated usage analysis, debugging.
- Customer support (contract performance / legitimate interests): responding to requests.
- Marketing (consent or legitimate interests, where lawful): product announcements; you can opt out at any time.
- Legal compliance (legal obligation): tax, accounting, and responding to lawful requests.
4. Sharing of personal data
We share personal data with the following categories of recipients:
- Merchant of Record (Paddle) — for the sale of subscriptions, subscription management, payment processing, tax compliance, invoicing, and refunds. See Paddle's privacy notice at paddle.com/legal/privacy.
- Service providers and subprocessors — hosting, database, storage, email delivery, error monitoring, analytics, AI transcription/summarization providers, all under written data-processing terms.
- Professional advisers — legal, accounting, and audit advisers under confidentiality.
- Authorities — where required by law, court order, or to protect our rights.
We do not sell personal data.
5. International transfers
Personal data may be processed in countries outside your country of residence, including the United States. Where required, we rely on appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms.
6. Retention
We retain personal data for as long as necessary to provide the Service and to comply with our legal obligations. Call recordings are retained for 90 days by default, after which audio files and references are deleted automatically. CRM content is retained for the life of your account and deleted within a reasonable period after account closure, except where retention is required by law.
7. Your rights
Depending on your jurisdiction, you may have the right to access, rectify, erase, restrict, or object to processing of your personal data, to data portability, to withdraw consent, and to lodge a complaint with a supervisory authority. 8. Security
We use appropriate technical and organizational measures including encryption in transit, encryption at rest for sensitive data, role-based access controls, audit logging, and least-privilege server credentials. No system is perfectly secure; please use a strong password and keep it confidential.
9. Cookies
We use strictly necessary cookies for authentication and session management, and limited analytics cookies to understand product usage. You can manage cookie preferences in your browser. Disabling essential cookies may break parts of the Service.
10. Children
The Service is not directed to children under 16. We do not knowingly collect personal data from children.
11. Changes to this notice
We may update this notice from time to time. Material changes will be announced in the Service or by email.
